About the Role:

We’re looking to add an Editorial Assistant to our Editorial Services team. The Editorial Assistant will be responsible for executing editorial and administrative tasks supporting our speaker bureau programs.

Specific Responsibilities Include:

  • Collaborate with internal departments on the development through final production of program materials
  • Develop knowledge of multiple client requirements for program materials and become familiar with client electronic tracking systems
  • Serve as a liaison with the client(s) for changes to program materials, help to resolve questions, and work with other departments as needed for completion
  • Assist team members with steps in the process for medical and legal reviews
  • Participate in medical and legal review calls, taking notes and downloading any comments on program materials from client portals
  • Adhere to specific timelines and track status/progress for all materials, ensuring team members are kept up to date at all times

Qualifications/Skills:

  • Bachelor’s degree in English/marketing/communications
  • 1 to 2 years’ experience in editing or proofreading. Experience in a medical communication/medical advertising agency a plus.
  • Excellent word processing and computer skills, including proficiency in Microsoft® Word, PowerPoint, Adobe Acrobat® Professional, and Excel
  • Excellent proofreading, grammar, and spelling skills
  • Ability to work in a fast-paced and deadline-driven environment
  • Ability to change topics and priorities rapidly
  • Excellent administrative, organizational, and communication skills
  • Knowledge of project management programs such as Wrike and company tracking systems such as Veeva Vault a plus

    About the Role

    We’re looking for a Program Manager to join our Speaker Bureau Program Management team. The Program Manager is responsible for complete and accurate execution of speaker bureau-specific requirements including speaker training, speaker contracting, product theaters, and virtual programs.

    Specific responsibilities include:

    • Demonstrate a thorough understanding of program needs and managing them to ensure timely and accurate execution
    • Build strong client relationships through effective communication
    • Ownership of speaker management
    • Draft program components and shepherding them through the development process, including submission for medical and legal review Support the Program Director, as needed
    • Delegate tasks to the Program Coordinator in a clear and concise manner, providing training as needed

    Qualifications/Skills

    • 3-5 years of program management experience. Speaker bureau experience required.
    • Proficiency in Microsoft® Office, including Word, Excel, and PowerPoint, and Zoom Meetings and Webinar
    • Exceptional attention to detail
    • Strong interpersonal skills with ability to build credibility and positive relationships with clients and key opinion leaders
    • Strong organizational skills and ability to work on several program tasks/projects simultaneously

      Specific Responsibilities Include:

      • Managing a team of scientific/medical writers and freelancers, including:
        • managing workflow
        • ensuring compliance with quality and regulatory standards, as well as internal SOPs
        • ensuring assets are delivered on time and within budget
        • contributing to the development of junior staff and providing opportunities for career growth
      • Serving as a subject matter expert within assigned accounts, both internally and with the client; ensuring all work is scientifically accurate, and consistent with client strategy
      • Planning, researching, and writing high-quality, unbiased scientific abstracts, manuscripts, posters, slide presentations, and other content that supports the medical, commercial, and/or HEOR teams at a range of pharma partners; reviewing, editing, and approving pieces produced by more junior staff and freelancers
      • KOL engagement, including identification and evaluation; participation in and summarizing of advisory boards
      • Providing editorial and art teams with direction and context required for editing, fact checking, and graphic design and facilitating the medical-legal review process
      • Active participation in new business development initiatives, RFPs
      • 10%-20% travel required

      Qualifications/Skills

      This candidate will have several direct reports so prior management experience is needed. In addition, we are looking for someone with:

      • An advanced degree (required): MD, PhD, MS, MPH, or PharmD
      • Oncology experience (strongly preferred)
      • 6+ years of experience in medical communications/medical writing agency; publications experience a must
      • The ability to multitask in order to meet client objectives and deadlines
      • Strong interpersonal and presentation skills
      • Proven personnel management skills strongly preferred
      • Proficiency in Microsoft® Word, PowerPoint, PubMed
