About the Role

We’re looking to add a Meeting Manager to our Meetings & Events Operations team. The Meeting Manager will be responsible for successfully handling the logistical planning, implementation, and reconciliation of pharmaceutical company-sponsored meetings (in person and virtual). This includes, but is not limited to, symposia, congress management support, advisory boards, and editorial boards. As a Meeting Manager, you strive for 100% client satisfaction and a positive event experience. You think before you act to fully understand situations as they arrive and proactively address “what ifs” with a prepared plan.

A remote option is available for this position.

Specific responsibilities include:
  • Planning the logistical requirements for in-person and virtual meetings
    • Including venue sourcing, contract negotiations, AV/production requirements, and catering and travel arrangements, ensuring that budgetary and compliance guidelines are met
    • Managing communication of meeting details, ensuring that internal and external attendees understand all logistical information
  • Executing and managing on-site and virtual meetings
  • Managing multiple priorities with tight deadlines, such as team workload and assignments and freelancers
  • Having a keen understanding of contract provisions and the ability to negotiate terms
  • Anticipating potential issues and proactively resolving them 
  • Troubleshooting and resolving issues during in-process meetings

Reconciling meeting budget to actual with required timeline

Qualifications/Skills:
  • 3+ years of meeting planning experience
  • Proficiency in Microsoft® Office, including Word, Excel, and PowerPoint, and Zoom Meetings and Webinar
  • Demonstrated confidence and calmness under pressure at all times
  • Exceptional attention to detail
  • Strong interpersonal skills with ability to build credibility and positive relationships with clients and key opinion leaders
  • Internet search/research skills
