About the Role

We’re looking to add a Meeting Planner to our Promotional Peer-to-Peer team. The Meeting Planner will manage and execute all arrangements for assigned virtual and in-person programs in accordance with client and HWP requirements. 

Specific responsibilities include:

  • Serving as liaison with client sales representative, speakers, and vendors
  • Researching and recommending compliant meeting venues for in-person events
  • Contacting and securing the identified speaker
  • Coordinating all meeting logistics, including venue, audiovisual equipment, speaker travel, lodging, and ground transportation
  • Generating and distributing all program materials, including invitations and confirmations
  • Maintaining comprehensive program notes and executing all required data entry
  • Reconciling actual costs to estimated and providing all backup documentation
  • Full understanding of Service Level Agreements (SLA’s) and complying to requirements


  • 3-5 years of meeting planning experience. Pharmaceutical meeting planning/speaker bureau experience a plus 
  • Flexibility to work hours in different time zones for nationwide clients
  • Strong interpersonal skills and ability to interact effectively with internal and external stakeholders at all levels 
  • Excellent organizational skills and keen attention to detail
  • Working knowledge of Zoom for virtual program planning/setup and execution
  • Knowledge of Veeva Events desirable
