What You Need to Know 

We are looking to add a Coordinator, Financial Operations to our Speaker Bureau Services – Post Meeting team. The Coordinator, Financial Operations will be responsible for efficiently managing various financial and operational aspects of the HWP Speaker Bureau and its clients.  Additionally, this position involves ensuring the accuracy and compliance of speaker program financials, processing expenses, and facilitating the financial closeout of speaker bureau programs.  

What You’ll Do 

The Coordinator, Financial Operations is accountable to the Director, Financial Operations, Vice President, Meeting Planning & Operations, Speaker Bureau Services, speakers, and clients and responsible for supporting the overall financial operations of the HWP speaker bureau and its clients. In addition, they will: 

  • Review all elements of completed speaker programs to ensure accuracy according to client-specific business rules and compliance guidelines for financial closeout 
  • Analyze receipts and meeting documentation to verify that speaker expense reimbursements meet compliance standards and are processed promptly 
  • Comprehend and enforce HWP and client guidelines and business rules related to Speaker Bureau financial operations 
  • Maintain professional and dignified communication with colleagues, speakers and clients addressing inquiries and concerns promptly 

What You’ll Have 

  • 1-3 years of similar work experience 
  • College degree with a focus on accounting, finance or business administration is a plus 
  • Agency experience, particularly in Speaker Bureau is preferred 
  • Basic accounting knowledge or demonstrated competency in working with numbers needed 
  • Working knowledge of Microsoft® Office Suite and accounting software, such as NetSuite 
  • Proficiency in navigating databases 
  • Exceptional customer service skills 
  • Ability to manage time and prioritize time 
  • Strong verbal and written communication skills

    What You Need to Know 

    We are looking to add a Data Control Coordinator to our Speaker Bureau Services – Post Meeting team. The Data Control Coordinator will be responsible for the timely and accurate closeout of all speaker bureau programs in accordance with HWP and client requirements. Additionally, they will be accountable to the Vice President, Meeting Planning & Operations, Speaker Bureau Services. 

    What You’ll Do 

    • Collect all meeting documentation (program sign-in sheets, attestation, assessment forms) from client field representatives, assuring completeness and accuracy of information and conduct error-free data entry into the applicable data base 
    • Communicate/follow-up with representatives as necessary for any issues related to program close-out and accuracy of attendee data, and escalate any situations accordingly to supervisor 
    • QC scanned and saved files to assure naming is consistent with company requirements 
    • Review attendee data checks in the logistics system to correct any inconsistencies 
    • Work cohesively with meeting planning team on determining and correcting any inconsistencies in meal vs attendee count 

    What You’ll Have 

    • High level computer skills, including proficiency in Microsoft® Suite (Outlook and Access) 
    • Strong numerical aptitude 
    • Ability to multi-task and manage priorities 
    • Deadline focused 
    • Exceptional organizational skills with the ability to track and follow up for information 
    • Effective communication skills
