What You Need to Know

We are looking to add an Account Coordinator to our Account Services team. This is a growth position where you will develop knowledge of the role of medical communication within the pharmaceutical industry.  You will have an opportunity to observe faculty and client interactions, research market dynamics, scientific advances, and new paradigms for assigned brands and study brand knowledge.

You will work jointly with the external clients and the internal team to support successful execution of programs. The Account Coordinator will be responsible for executing assigned tasks during the program life cycle and providing overall administrative support to the team. Given that some tasks must be carried out in person regularly, you must be within commuting distance of one of our physical offices (Upper Saddle River, NJ, Eatontown, NJ or San Diego, CA).

What You’ll Do

  • Provide administrative and logistical support including, but not limited to, scheduling internal and client meetings, circulating status reports, taking notes and preparation and assembly of meeting materials
  • Actively participate in weekly status meetings providing information/updates for reports in advance of the scheduled meetings, taking notes during the meetings, and seeking feedback on notes post-meetings
  • Contribute to successful live program execution, including supporting the recruitment process, packing and shipping all needed meeting materials, and serving as an onsite resource as required
  • Continually build knowledge of the pharmaceutical industry, the role of medical communication within the industry, and collect and share associated competitive intelligence
  • Track, process, request, log, and disseminate payments and expenses via mail or electronically
  • Generate letters to accompany payments
  • Supervise inventory of supplies and monitor shipping/mailing costs

What You’ll Have

  • College degree required or equivalent experience
  • Demonstrated work/internship experience
  • Proficiency in Microsoft® Teams, Word, Excel, PowerPoint, Outlook and Adobe® Acrobat
  • Interest and ability in learning medical terminology and pharmaceutical products
  • Demonstrated ability to apply transferable skills
  • Strong oral and written communication abilities
  • Effective multitasking and prioritization skills

    What You Need to Know

    We are looking to add a Program Director to our Speaker Bureau Services Program Management team. This role will orchestrate, manage, and maintain workflow efficiently in a fast-paced environment ensuring each step in the process and information flows to everyone who is part of the project team. With a thorough understanding of speaker bureau programs, this role will translate requirements of statement of work and budget into an action plan for execution.

    What You’ll Do

    • Plan programs from start to finish, including identifying processes, deadlines and milestones
    • Serve as the main point of client contact – serving as liaison between HWP and the client (marketing/medical teams)
      • Manage day-to-day client requests including proper dissemination to appropriate team members and timely acknowledgement and response
    • Ascertain a thorough understanding of the program needs and ensure all actions are completed on time and within budget (including working interdepartmentally with Account Services to provide Speaker Bureau expertise as it relates to process and budget)
    • Develop SOW and amendments as needed with the Finance Team
    • Manage forecasting and accruals monthly to ensure services are completed successfully and budgeted correctly
    • Lead and conduct status meetings, communicating needs
    • Oversee speaker management and speaker utilization
    • Conduct Quarterly Business Reviews, manage reports, and QC metric/data requests
    • Develop, track, process, and “publish” components including P2P invitations, assessments, bio books, promotional materials, and reference materials
    • Manage the portal and database builds alongside the Development Team, ensuring all current speakers, slides, components are up to date on the portal
    • Supervise program resources, ensuring excellence in performance
      • Provide clear direction to the team
    • Develop and manage detailed timelines with understanding of meeting planning execution aspects

    What You’ll Have
