What You Need to Know 

We are looking to add a Senior Meeting Planner to our Speaker Bureau Services team. The Senior Meeting Planner will be responsible for managing and executing all arrangements for assigned virtual and in-person speaker programs in accordance with client and HWP requirements.  

What You’ll Do 

  • Serve as liaison with the client sales representative, speakers, and vendors 
  • Research and recommend compliant meeting venues for in-person events 
  • Contact and secure the identified speaker 
  • Coordinate all meeting logistics, including venue, audiovisual equipment, speaker travel, lodging, and ground transportation 
  • Generate and distribute all program materials, including invitations and confirmations 
  • Maintain comprehensive program notes and executing all required data entry 
  • Reconcile actual costs to estimated and providing all backup documentation 
  • Have a full understanding of service level agreements (SLAs) and complying to requirements 

What You’ll Have 

  • 3-5 years of meeting planning experience. Pharmaceutical meeting planning/speaker bureau experience is a plus  
  • Flexibility to work hours in different time zones for nationwide clients 
  • Strong interpersonal skills and ability to interact effectively with internal and external stakeholders at all levels  
  • Excellent organizational skills and keen attention to detail 
  • Working knowledge of Zoom and Microsoft ® Teams for virtual program planning/setup and execution 
  • Knowledge of Veeva Events is desirable

    What You Need to Know

    We are looking to add a Program Director to our Speaker Bureau Services Program Management team. This role will orchestrate, manage, and maintain workflow efficiently in a fast-paced environment ensuring each step in the process and information flows to everyone who is part of the project team. With a thorough understanding of speaker bureau programs, this role will translate requirements of statement of work and budget into an action plan for execution.

    What You’ll Do

    • Plan programs from start to finish, including identifying processes, deadlines and milestones
    • Serve as the main point of client contact – serving as liaison between HWP and the client (marketing/medical teams)
      • Manage day-to-day client requests including proper dissemination to appropriate team members and timely acknowledgement and response
    • Ascertain a thorough understanding of the program needs and ensure all actions are completed on time and within budget (including working interdepartmentally with Account Services to provide Speaker Bureau expertise as it relates to process and budget)
    • Develop SOW and amendments as needed with the Finance Team
    • Manage forecasting and accruals monthly to ensure services are completed successfully and budgeted correctly
    • Lead and conduct status meetings, communicating needs
    • Oversee speaker management and speaker utilization
    • Conduct Quarterly Business Reviews, manage reports, and QC metric/data requests
    • Develop, track, process, and “publish” components including P2P invitations, assessments, bio books, promotional materials, and reference materials
    • Manage the portal and database builds alongside the Development Team, ensuring all current speakers, slides, components are up to date on the portal
    • Supervise program resources, ensuring excellence in performance
      • Provide clear direction to the team
    • Develop and manage detailed timelines with understanding of meeting planning execution aspects

    What You’ll Have

      What You Need to Know

      We are looking for a Manager, Accounts Payable responsible for managing all aspects of the accounts payable function. This role ensures accurate and timely processing of vendor invoices, speaker honoraria and expense payments, payments to independent contractors, and credit card payments. Adherence to financial policies and procedures, along with all aspects of compliance related to the pharmaceutical industry, is critically important.

      What You’ll Do

      • Manage and execute the timely and accurate processing of company and program payments and enter them into NetSuite
      • Validate invoice details, purchase orders, and receipts to facilitate accurate payments and assign coding per company protocols
      • Implement an expense management platform and approval workflow and integrate accounts payable services across the company
      • Manage our Global Credit Card Program

      In Addition, You Will

      • Generate regular reports as required on accounts payable activities
      • Serve as system administrator of Bill.com, including troubleshooting issues
      • Assure receipt and accurate completion of required tax documentation for vendors, speakers, and independent contractors
      • Respond to vendor payment inquiries
      • Process year-end 1099 forms

      What You’ll Have

      • 5+ years’ experience in accounts payable
      • Supervisory experience
      • Experience participating in system implementations, migrations, or automation
      • A background in implementing and managing strong quality controls by audit standards
      • Proficiency with financial systems such as NetSuite or Bill.com
      • Intermediate Microsoft® Excel skills and ability to produce ad hoc reports
      • Strong organizational, customer service, and communication skills, along with a demonstrated business acumen and ability to work independently with little supervision
