We’re looking to add a Registration Coordinator to the Speaker Bureau Services – Meeting Planning team. The Registration Coordinator will be responsible for ensuring that all speaker bureau program registration requirements are met in a timely and compliant manner.
What You’ll Do
This position is accountable to the Director, Meeting Planning and Speaker Bureau Services working in close collaboration with Representatives, Marketing and Compliance teams to ensure the smooth execution of programs. Additionally, this role will:
- Assess whether the programs have fulfilled the minimum registration requirements by the established deadline
- Review program registrations and confirm that all necessary stakeholders, including invited QLPs (qualifying licensed prescribers) and HCPs (Healthcare Professionals), are properly registered and their statuses are accurately reflected
- Partner with Representatives to address non-compliant programs, identify issues, and provide actionable solutions
- Verify that all required QLP documentation is submitted and in compliance with standards, and follow up with the Representatives to ensure accuracy and timeliness when necessary
- Collaborate with cross-functional teams to address any challenges or changes to program schedules, assisting to make decisions on potential program adjustments or cancellations
What You’ll Have
- Experience in program coordination or a similar role is preferred
- Knowledge of compliance and regulatory requirements is a plus

What You Need to Know
We’re looking to add a Sr. Business Analyst to our Finance & Accounting team. The Sr. Business Analyst will be responsible for managing financial and operational aspects of assigned Speaker Bureau clients and their products. This role requires a high level of understanding of the assigned clients and products, various speaker bureau project types, and the ability to work independently. The Sr. Business Analyst will work closely with the Director, Business Analysis and financial analysts to ensure accurate internal and external financial reporting, develop budget proposals and provide financial related support in client meetings.
What You’ll Do
The Sr. Business Analyst is accountable to the Director, Business Analysis who provides guidance and support on more complex tasks and the Speaker Bureau team and responsible for the accurate management of finances, adherence to SOPs, development of budgets and proposals, reviewing reports and participating in client meetings. Additionally, this role will:
- Oversee day-to-day financial operations for speaker bureau, including budget tracking, internal revenue accruals, forecasting and variance analysis
- Develop Statement of Work (SOW), ensuring final sign-off by Director as required
- Create and manage budgets and proposals, providing oversight for complex SOWs
- Prepare speaker bureau specific budgets, accrual reports and monthly financial management updates
- Work closely with Program Directors on monthly accrual reports, reviewing and discussing as needed
- Ensure accuracy in financial reconciliation data before releasing reports to clients
- Generate and distribute monthly accruals and budget reports for clients
- Provide invoicing amounts to Accounts Receivable to facilitate timely invoice submissions
- Initiate project records and issue job numbers for new projects
- Ensures compliance with internal Standard Operating Procedures (SOPs) and client specific SOPs
- Provides budget related support in client meetings as needed
- Participates in accrual meetings with clients based on their SOPs
- Contributes to process improvement initiatives to enhance financial operations
What You’ll Have
- 2+ years’ experience in budgeting
- Prior speaker bureau experience a plus
- Proficiency in Microsoft® Excel functions for financial modeling and analysis
- Strong financial analysis skills, including budget tracking, forecasting and variance analysis
- Strives to find process efficiencies by thinking outside the box and making recommendations for change
- Strong ability to work independently and handle multiple projects simultaneously
- Knowledge of ERP systems, NetSuite a plus
- Excellent client facing skills, including comfortability with all types of client communications

What You Need to Know
We’re looking to add a Patient Ambassador Liaison to our Account Services team. The Patient Ambassador Liaison will serve as a dedicated liaison between patients, their families and the pharmaceutical company, focusing on gathering valuable patient feedback, providing educational support and fostering positive brand perception through ethical and compliant engagement practices.
What You’ll Do
The Ambassador Manager will be accountable to the VP Group Account Lead with program oversight and the pharmaceutical client. Additionally, this role will:
- Educate patient and caregivers on medication usage, including detailed information on dosage, administration, potential side effects
- Collaborate with the patients, medical writers and clients to develop materials related to the ambassadors’ experiences (slide decks, discussion guides etc.)
- Screen potential patient ambassadors and engage directly with current patient ambassadors to gather comprehensive feedback on their treatment experiences, including efficacy, side effects and overall satisfaction with prescribed medications.
- Manage the development of materials from inception to completion
- Coach patient ambassadors on the delivery of their story within the guidelines set by the pharmaceutical company
- Escort identified patients to off-site meetings and events sponsored by the pharmaceutical company, ensuring the comfort, safety and well-being of patients throughout their journey to and from the event location and preparing them to present the content at the event (rehearsing on site)
- Provide logistical support and assistance as needed during the event to enhance the overall experience for patients and clients
- Collaborate closely with the account team to align patient engagement strategies and operational needs
- Maintain detailed documentation of all activities and interactions per company and client requirements
- Develop and manage annual training for all patient ambassadors
- Adhere strictly to regulatory guidelines and company policies governing patient interactions, data privacy and ethical disclosure of medical information
- Ensure all activities align with established compliance protocols, including those required by HIPAA, adverse events, and product complaint reporting
- Utilize standard formats to document patient feedback, concerns, treatment experiences and other document requirements, and escalating as necessary
- Summarize each event including objectives, overview of presentation, audience questions, number of attendees
What You’ll Have
- A degree in nursing, health education, or public health
- Must have or be in the processing of receiving a CHES (Certified Health Education Specialist), HES (Health Education Specialist) or like certification
- Knowledge of pharmaceutical industry regulations and ethical standards related to patient interactions
- Willingness to travel and work past normal business hours
- Excellent interpersonal skills, with a strong ability to empathize and communicate effectively with diverse patient groups

What You Need to Know
We’re looking to add a Project Manager to the Project Management team. The Project Manager will collaborate cross-functionally with internal teams to ensure successful program planning and execution. This role will be responsible for managing a portfolio of projects, understanding the full project scope, developing and managing detailed project plans and deadlines in Workfront, identifying and communicating project risks, understanding roles, and ensuring appropriate resource allocation.
What You’ll Do
The Project Manager will be accountable to the Managing Director, Operations. Additionally, this role will:
- Support budget development and scope management to ensure the cost-effective delivery of projects. Inform Account Services of changes in scope to support budget amendments
- Collaborate with cross-functional teams to understand and communicate the financial impact of project decisions to support budget management
- Complete project management in Workfront, including opening and closing projects, managing Workfront project status, and setting tasks, role assignments, and deadlines
- Collaborate with cross-functional teams to understand roles and ensure appropriate assignment to tasks, identify and engage freelancers or vendors when needed
- Monitor and continuously assess project tasks and timing and proactively identify issues, resource workload, and deadline concerns
- Spearhead project-related discussions and provide deliverables, deadlines, and risks updates to Account Services for weekly client status reports and internal meetings
- Manage project reconciliation tasks to ensure compliant project reconciliation process and deadlines. Close out projects in Workfront
- Run project and utilization reports and analyses to ensure adherence to metrics/KPIs
- Optimize and streamline operational processes to improve project efficiency and resource allocation
What You’ll Have
- 3-5 years of Project Management experience
- Previous direct experience in medical communications or advertising agency or transferrable experience is highly desirable
- Strong project management and organizational skills
- Advanced proficiency in Microsoft® 365, SharePoint, Teams, and Outlook
- Expertise in Workfront or other project management systems
- Keen oral and written communication skills

Additionally, the Program Coordinator will have a willingness to help others as hands-on support to the Program Management team for execution of speaker bureau projects will be necessary.

We’re looking to add a Senior Meeting Planner to our Speaker Bureau Services team. The Senior Meeting Planner will be responsible for managing and executing all arrangements for assigned virtual and in-person speaker programs in accordance with client and HWP requirements.
What You’ll Do

- Research and recommend compliant meeting venues for in-person events

We are looking to add a Program Director to our Speaker Bureau Services Program Management team. The Program Director will orchestrate, manage and maintain workflow efficiently in a fast-paced environment ensuring each step in the process and information flows to everyone who is part of the project team. The Coordinator, Financial Operations will be responsible for efficiently managing various financial and operational aspects of the HWP Speaker Bureau and its clients. What You’ll Do
The Coordinator, Financial Operations is accountable to the Director, Financial Operations, Vice President, Meeting Planning & Operations, Speaker Bureau Services, speakers, and clients and responsible for supporting the overall financial operations of the HWP speaker bureau and its clients. In addition, they will:
- Review all elements of completed speaker programs to ensure accuracy according to client-specific business rules and compliance guidelines for financial closeout
- Analyze receipts and meeting documentation to verify that speaker expense reimbursements meet compliance standards and are processed promptly
- Comprehend and enforce HWP and client guidelines and business rules related to Speaker Bureau financial operations

We are looking to add a Data Control Coordinator to our Speaker Bureau Services – Post Meeting team. The Data Control Coordinator will be responsible for the timely and accurate closeout of all speaker bureau programs in accordance with HWP and client requirements. Additionally, they will be accountable to the Vice President, Meeting Planning & Operations, Speaker Bureau Services.
What You’ll Do
- Collect all meeting documentation (program sign-in sheets, attestation, assessment forms) from client field representatives, assuring completeness and accuracy of information and conduct error-free data entry into the applicable data base
- Communicate/follow-up with representatives as necessary for any issues related to program close-out and accuracy of attendee data, and escalate any situations accordingly to supervisor
- QC scanned and saved files to assure naming is consistent with company requirements
- Review attendee data checks in the logistics system to correct any inconsistencies
- Work cohesively with meeting planning team on determining and correcting any inconsistencies in meal vs attendee count

We are looking to add an Associate Scientific/Medical Director to our dynamic Scientific & Medical Services Team. The Associate Scientific/Medical Director will work closely with clients, faculty, advisors and our internal account teams to plan, research and write a variety of high-quality scientific communications and educational assets. What You’ll Do
- Serve as a subject matter expert within an assigned therapeutic area, including relevant basic science, mechanism of disease, therapeutic approaches, and competitive landscape. Ensure all work is scientifically accurate, and consistent with client strategy
- Plan, research and write high-quality, unbiased scientific abstracts, manuscripts, posters, slide presentations, and other content that supports the medical, commercial and/or HEOR teams at a range of pharma partners

What You’ll Have
