We are looking to add a project-based Budget Analyst to our Finance & Accounting Team. This position will be based in our Upper Saddle River, NJ office. We are looking for someone who has experience in medical communications or pharmaceuticals. This position will manage the program budget process from proposal to final reconciliation assuring accuracy, completeness, and integrity of process.
What You’ll Do
- Working with Account Services to create budgets for new proposals using budget templates reflective of project scope and client requirements
- Establishing and maintaining required proposal budget documentation and tracking controls to ensure integrity of the process and accuracy of files and templates
- Working with Account Services and Finance to monitor and control program budgets and communicate variances internally and externally as required
- Working with Financial Analysts to assure accuracy of accruals
- Understanding client reporting requirements and templates and implementing procedures to comply
- Review the final reconciliation of projects in a timely manner
- Reviewing client financial contracts (Statements of Work, Work Orders, Amendments) to ensure liability is minimized, confidentiality is maintained, and terms are consistent with company and client requirements
What You’ll Have
- Strong proficiency in Excel, including PivotTables and Lookups

We are looking to add a Vice President, Digital Lead to the HWP team. In this position, you will be responsible for formulating new digital initiatives to meet clients’ business needs ensuring that clients value HWP’s strategic capabilities as much as our tactical delivery. What You Need to Know
We’re looking to add a Meeting Planner to our Promotional Peer-to-Peer team. The Meeting Planner will manage and execute all arrangements for assigned virtual and in-person programs in accordance with client and HWP requirements.
What You’ll Do
- Serving as liaison with the client sales representative, speakers, and vendors
- Researching and recommending compliant meeting venues for in-person events
- Contacting and securing the identified speaker
- Coordinating all meeting logistics, including venue, audiovisual equipment, speaker travel, lodging, and ground transportation
- Generating and distributing all program materials, including invitations and confirmations

We’re looking to add a Meeting Manager to our Meetings & Events team. The Meeting Manager will be responsible for successfully handling the logistical planning, implementation, and reconciliation of pharmaceutical company-sponsored meetings (in person/live and virtual). This includes, but is not limited to, symposia, congress management support, speaker training, advisory boards, editorial boards, and product theaters. You must be a master at attention to detail with the ability to plan and implement all facets of execution flawlessly. What You’ll Do
- Plan the logistical requirements for in-person and virtual meetings
- Includes venue sourcing, contract negotiations, AV/production requirements, and catering and travel arrangements, ensuring that budgetary and compliance guidelines are met
